Executive and Key Responsibilities

CFUW Executive Officers – 2022/23

President

Key responsibilities are: chair Executive/ General Meetings, set agenda for meetings, assist with budget, attend Ontario Standing Council Committee/ CFUW National AGM when possible, oversee received mail, review Job Descriptions and Membership Directory, oversee proposed amendments and set up Ad Hoc Committees.

Vice President

Key responsibilities are: attend General/ Executive and Issues/ Actions Meetings, assist the President, oversee Annual Executive Job Descriptions, assist with the budget, review Membership Directory and work on Nominating Committee.

Past President

Key responsibilities are: attend Executive Meetings and assist as a resource, review Membership Directory, work on Nominating Committee, obtain an outgoing gift for the President and organize a dinner at end of year for outgoing and incoming Executive.

Treasurer

Key responsibilities are: attend Executive Meetings, draft the Club Budget, make deposits on a regular basis, balance cheques with members, recover fees for NSF cheques, reconcile monthly bank statements, prepare cheques (speakers, Sugar Plum Social, Battle of the Books, Church, May Banquet), pay for Post Office box, manage GIC, pay Ontario/ National Dues and prepare financial statements.

Executive Meetings Secretary

Key responsibilities are: take minutes monthly at the Executive meetings, take attendance at meetings, following acceptance of the minutes by the President send minutes to the Executive, collect and file Job Descriptions and keep Executive correspondence.

General Meetings Secretary

Key responsibilities are: attend Executive Meetings, take monthly minutes at the General Meetings, create a word processed document of the proceedings, record the facts and following acceptance of the minutes by the President, distribute them to the membership.

Membership Committee

Key responsibilities are: take turns attending Executive meetings, collect annual fees, keep the Membership List up to date, publish the annual Membership Directory, take name tags to club events and monitor the club email site.

Issues and Actions Committee

Key responsibilities are: the Chair attends Executive meetings and reports on the CFUW Resolutions sending correspondence via email or letter, suggests possible speakers to support issues, chairs regular Issues and Actions meetings. In the spring, chairs the meeting for the proposed resolutions, presents issues to the members and emails responses to CFUW National.

Program Committee

Key responsibilities are: take turns attending the Executive Meetings, choose speakers for the General Meetings, ensure there is a budget allocation for speakers, receive payment from the Treasurer before each meeting, arrange for a member to introduce and thank speakers and setup/put away sound system for meetings

Fundraising Committee

Key responsibilities are: convenor attends Executive Meetings, meets with Education Fund Convenor and Executive representative to determine the fundraising goal, recruits committee volunteers and leads committee fundraising activities, acts as liaison between the Executive, Publicity Convenor and Newsletter Convenor.

Interest Groups Committee

Key responsibilities are: take turns attending Executive meetings, inform members of interest groups about how to connect with group leaders, attend November new members gathering, develop and maintain a current electronic calendar, write announcements for club newsletter, liaise with coordinators, prepare/update guidelines and monitor club website for accuracy.

Publicity

Key responsibilities are: attend Executive meetings. In August, arrange printing of club brochure, send info of September meeting to media (Snap’d, Economist and Sun, Markham Review), create a poster to be posted. At fall meetings, encourage members to contact friends to join CFUW. Each month, send speaker and meeting info to media, send publicity info to Archivist and continue to seek new members.

Newsletter

Key responsibilities are: attend Executive Meetings, maintain the emailing list of only CFUW members, forward Ontario/ National newsletters, receive entries from Executive Members for Newsletter on Friday before General Meeting and amalgamate with the President’s message (being first) and other entries and send newsletter to all members before the General Meeting.

Social Committee

Key responsibilities are: attend Executive Meetings, arrange for Executive to bring refreshments, arrange for members to bring refreshments and set/tidying up table for each General Meeting, purchase water for General Meetings, give all receipts to the Treasurer, chair Sugar Plum Social, collect necessary funds and create a newsletter announcement for the event.

Education Fund

Key responsibilities are: attend Executive Meetings, write out receipts for Education Fund payments to ensure members receive them for tax purposes, photocopy cheques before deposit, keep a regular update of books (book sales, bank charges, expenses), store bank statements, report funds to Executive, ensure all transactions are completed (donations) and complete Income Tax Form.

Archives

Key responsibilities are: attend Executive Meetings, manage and maintain documents and other materials that have historical importance for CFUW Markham Unionville, make info accessible to users, some in digital format, and arrange and catalogue the records.

Technical Support

This committee will assist other Chairs with surveys, directory creation, hosting Zoom meetings, tracking payments, seating arrangements at banquets, etc.

Website Development and Maintenance

Key responsibilities are: attend Executive Meetings, update website pages in September and throughout year as needed, make occasional changes in the overall design where needed to keep the website fresh and relevant.
